Speaker CUsually I'm on Lee, but he is a bit tied up this afternoon, so you are stuck with us, too.
Speaker CAnd if you've seen our TikToks or our videos recently, you know that we tend just to get the giggles half the time when we're trying to record something and everything takes twice as long.
Speaker CI don't know whether it's just because we're recording, we get the giggles because I never get the giggles doing these.
Speaker CBut when we do the TikTok, I just get the giggles and we just take.
Speaker AAnd I know they tell you off.
Speaker CYeah, Tegan tells me off for getting the giggles because it froze her off.
Speaker CSo no giggles.
Speaker CToday.
Speaker CWe are here to talk about making Tax Digital slightly and the different softwares that are out there that people can use.
Speaker CBecause I've seen a lot of questions on the different groups about which softwares to use and what they should get.
Speaker CAnd there's been some good suggestions and there's been some iffy suggestions.
Speaker CAnd so I thought with us, come on, give you our ideas of what we think is a good software and why, because again, every accountancy firm is going to differ.
Speaker CFor example, we have a name for QuickBooks that isn't quite called QuickBooks, and we don't like it, we don't use it, and we just don't like it.
Speaker CIt's clunky, it crashes all the time, it kicks us off, and sometimes it wipes people's data.
Speaker CSo as a accountancy firm, we just choose not to use it.
Speaker CBut another accountancy firm might absolutely love it, and that might be the only software that they use.
Speaker CSo this is just in our humble opinion, which we think are good softwares and which we don't.
Speaker CBut like I said, if you're on QuickBooks and you love it, that's absolutely fair enough.
Speaker CBut we're just going to give you our suggestions of good softwares and then Tegan is going to talk through a bit about each of the softwares and which clients tend to go for which ones because they all differ.
Speaker CSo I'm going to start off just quickly with a little bit on making Tax Digital.
Speaker CI'm not going to go into too much detail because we do touch on it quite a bit and there's no new info come out as of yet, so we will do a proper podcast on that once we get more info.
Speaker CSo basically making Tax Digital is essentially that you guys have to use accountancy software, it's compulsory.
Speaker CSo if you're currently using a spreadsheet or pen and paper or nothing, that will all have to change because you will have to use accountancy software.
Speaker CThat's no if, buts and maybes.
Speaker CIt is compulsory in a legal requirement.
Speaker CSo rather than HMRC doing it all at once, they're staging it.
Speaker CSo from April 2026, those of you who have got a turnover of 50 grand or more will have to go on accountancy software.
Speaker CAnd that is made up of your self employment and any rental properties that you might have.
Speaker CSo if you're 50 grand or more next April, you will have to use accountancy software and then from 2027 it'll be 30 grand or more and then it goes on.
Speaker CSo if you're in that bracket, then please listen up.
Speaker CIf you're not quite in that bracket, I would still suggest getting on the software and Tegan will cover that in a sec.
Speaker CAs to why, but we just thought it would be a good time to come on, go through the different softwares, what they do, who should use each one because they vary slightly and then we'll see where we go from that point.
Speaker CSo eagerly waiting to chat.
Speaker CI can see she's looking like, is she gonna stop?
Speaker CSo Tegan, obviously you do have a lot of people that ring up and a lot of clients.
Speaker CWhat softwares do we use?
Speaker CLike just give people a bit of a.
Speaker CNot in depth, but just a little bit of breakdown and what they're for.
Speaker AYeah, so we work from three different softwares as a company, which we know that there's a couple of, well, a lot of accountants out there that will just use one that every client has to use.
Speaker ABut we like that to be an option depending on what the client's looking for, because as you said, they do differ slightly with like the capabilities of what they can offer, but they all do the same thing fundamentally on the app.
Speaker ASo it's really just gauging what that client's looking for and then talking through the different ones.
Speaker ABut like you were saying, MTD's making tax digital is starting for anyone with a turnover over 50,000 legally from next April.
Speaker ABut regardless of turnover, we always say to clients, don't we just get on the software?
Speaker ABecause you're preparing ready for like making Tax Digital and you're compliant already.
Speaker AAnd software is just so much better than using spreadsheets or writing everything down because of the time it can save you, you know, writing things down, copying what's in your bank or copying your receipts and invoices.
Speaker AAs I mentioned the live last week, it is quite a lot of manual data that like you're entering.
Speaker ASo then it's very time consuming.
Speaker ASo software is a lot more efficient and there is more basic softwares than others.
Speaker ASo one that we use is called Dext and as I call it, it's like the Billy Basic one.
Speaker AAnd what we mean by that is what will happen with any of the software.
Speaker ASo if you're new listening to this and you're thinking what the heck does software do and what do I do on it?
Speaker AWe always recommend having a separate bank account for your business.
Speaker AAnd there's a reason, because what will happen is you connect your bank account that you use for your business to the accounting software.
Speaker ASo if you're using your personal bank account for your business, it's going to pull through everything from your life and then it's going to be a lot more time consuming trying to figure out what's what.
Speaker ASo having that separate bank account does make it a whole lot better.
Speaker ASo you connect the bank account to the app, whatever software you go for, and it'll pull through your bank transactions.
Speaker ASo it's basically like mirroring your bank feed.
Speaker AAnd then a job is that you have to go through and categorize all your transactions.
Speaker ASo the other half of being on the software is the ability to take photos of your receipts and your invoices.
Speaker ASo it is like software is very secure in that sense.
Speaker AAnd what people love is I know I speak to like so many dog walkers that will say, oh my glove box is full of receipts and they're crumpled up and they're fading over time.
Speaker AWell, the great thing about getting onto accounting software is you can just take photos of them.
Speaker APhysical paper receipts and any electronic invoices you get.
Speaker AWhen you order anything online, you just forward over.
Speaker AAnd then when you've taken a photo of those or forward them over, you basically match them up to to the transactions and do that like reconciliation side of it.
Speaker ASo Dex, for example, will let you do what I've just explained and that's pretty much it.
Speaker ASo all you need to do to be compliant with like the future changes of MTD to get your records to your accountant, but that's it.
Speaker AAnd some, most people say, you know, I'm happy with that.
Speaker ABut then other people go, actually I want to be able to do more.
Speaker AI want to look into my figures.
Speaker AAnd that's when like Free Agent and Xero would be better because you can run reports and you can delve into your figures and you know, do your tax planning and stuff like that.
Speaker ASo what.
Speaker AObviously you're itch and say something just before you.
Speaker CThe free agent in Xero, just to double say what Ting said is Dex is very, very basic.
Speaker CSo if you want reports and cash flow forecasts and all of that sort of jazz, you won't get that.
Speaker CWith Dex, it is MTV combined, but it is very, very basic.
Speaker CSome people who are not looking to grow the business, who are aware of what they're doing and they're not really bothered about the intricacies of what's going in and what's going out, then Dexter's perfect.
Speaker CIt's cheap at the minute, but like I say, it is very, very basic and it will just let you do that.
Speaker CIt's required to be compliant with mtd, so just be careful which ones you pick and obviously look at fits and drawbacks of each one.
Speaker CBut that is essentially Dex in a nutshell.
Speaker CVery basic doesn't give you much, does what it needs to do to keep you aligned.
Speaker AYeah, yeah, exactly.
Speaker AAnd like, even with the categorizing on it, decks will group a lot of categories together, so there's like less to choose from.
Speaker AWhereas obviously Free Agent and Xero, they're all individual and it has like an AI technology within it that once you've started matching your receipts and invoices up, it'll start doing it for you with 99% accuracy moving forward.
Speaker ABut I will always just chat whoever I'm on the phone with, whether that's an existing client that wants to go on software or a brand new client that wants to get on software.
Speaker AWe'll just talk through, like, what are you looking for?
Speaker ADo you want to do your own number work or do you want to pass it over to us and we do it all because in that case we're not going to do it on decks because deck's too basic.
Speaker AIt's not going to allow us to look into your figures and report back how your business is doing and help you make improvements because we can't see Anything really.
Speaker ASo yeah, that's Dex though Dext is the Billy Basic one and then Free Agent, your favorite.
Speaker ASo it's only fair if I let you explain Free Agent because Free Agent isn't it.
Speaker CFree Agent is my favorite.
Speaker CAgain, we all have different preferences like least favorite zero.
Speaker CSo again, you know, if there's certain softwares that you like, like if you're a QuickBooks lover, then unfortunately we wouldn't be the accountancy firm for you because we don't allow QuickBooks anymore.
Speaker CSo like I said, it's all personal preference.
Speaker CBut there's reasons behind our mad.
Speaker CSo Free Agent is my favorite.
Speaker CIt's sort of plunked in the middle.
Speaker CIt is aimed at business owners, so there's no accountancy jargon in there.
Speaker CAnd it is very user friendly and it does give you your profit and loss report, gives you your balance sheet, it gives you your trial balance, it gives you a capital asset sheet, so lists all your assets, does cash flow, does invoicing, all sorts.
Speaker CAnd it does have a receipt capture app and phone app as well linked into it.
Speaker CAlthough they do chart for so many receipts, which is the only drawback I think with Free Agent is they do chart.
Speaker CBut as far as business owners go, if you're wanting a software that does give you that little bit extra and allows you to break down figures and is user friendly for Tech Net and frogs, especially me, um, I find Free Agent very easy and quick to use and it does everything that you need to do.
Speaker CAnd then the other bonus with Free Agent is that it's free with an RBS NatWest or metal bank account.
Speaker CSo if you do want to save some pennies because I think at the minute the sole trader version of free agent is 19 pound plus bat a month but have one of the above bank accounts, the metal RBs on that west, then you do get it free and I don't think they've got any plans to change that at the minute.
Speaker CSo if you want to get a software now that's not going to cost you any money per month, then get one of those bank accounts on.
Speaker CAll it has to be is attached to it and have a couple of transactions going through one month.
Speaker CSo if you're using Starling for example and you don't want FAF transferring all your clients over, just link both banks and as long as the metal bank account is attached or the RBS bank account's attached, then you'll get it for free.
Speaker ADo you know what I find when I speak to a lot of people they use the metal bank account as like a savings bank like for tax and stuff like that.
Speaker ASo you could just have it as an additional, like put money aside each.
Speaker CMonth and yeah, so there's, there's ways of using that second bank account and I say getting it for free decks with us is a fiver a month.
Speaker CSo that is dirt cheap.
Speaker CLike I said, it's really basic free agent and they used to give us discounts.
Speaker CThey don't so much anymore.
Speaker CSo we don't offer free agent through us, you're just better off getting it direct.
Speaker CWe don't get any discounts.
Speaker CA lot of the software companies used to give accountancy firms discounts but they don't anymore so.
Speaker CAnd I'm feeling especially zero, I think are going to start hiking their prices up when making 10 seconds.
Speaker AYeah.
Speaker CJust because it's compulsory so people are going to have to use one of them.
Speaker CSo free agent, very, very good middle of the ground software aimed at business users, gives you all of the reports that you need, gives you an app that you can use on the go and like I said, no accountancy jargon and again is MTD compliant.
Speaker CSo if you're looking for something that's not too complex but not really basic like Dext that then free agent is the one to pick.
Speaker CAgain, what we use quite heavily with a lot of our clients and also there is a free agent guide on our website where me and Lee did some videos to show you guys how to do various things such as putting an asset in like a van or a grooming table or agility equipment, things like that, how to put them into the software properly, how to create categories, how to do an invoice, how to split payments, how to put a loan on there.
Speaker CAnd again we don't go through the technical side of it and why you're putting an asset the way that you're doing it.
Speaker CIt's more just of a if you have a van, this is what you need to do guide.
Speaker CSo again that will help you massively if you are doing new bookkeeping.
Speaker AAnd if I speak to sometimes, people sometimes say to me, you know what, I don't need a bookkeeper, I quite like the number work.
Speaker ANot I, I don't hear that as often as people saying they're hating the number where but still there's our person out there that says, you know what, I like it, I want to learn to do it myself.
Speaker AAnd in that instance would say, well if you want to learn about how your business is doing and be able to run the reports, go for free agent and then like if somebody's saying you know what, no, I just want basic, I want easy and I want cheap.
Speaker AThen Dex is perfect and then there is obviously the third one, beam zero.
Speaker ABut I'm sure you'll, you'll at me upon this that most people that go for zero to do their own bookkeeping tend to go what the heck because it is more advanced than free agent decks.
Speaker CYeah, we get a lot of people that do their own bookkeeping on free agent.
Speaker CWe don't tend to get a lot of people that do their own bookkeeping on Xero.
Speaker CIt's a lot less and I think because Xero is a very, very good software which is the main one that we use especially for the bookkeeping side.
Speaker CBut it is aimed more at accountants and it is more bargain heavy and a bit more technical.
Speaker CWe don't have a guide for zero because I say it's, it's too complex to do.
Speaker CWhereas Rage is not easy to do the guides for.
Speaker CWe wouldn't, it's.
Speaker CIt would just be a bit harder to do it with zero because like I said it's a bit more technical and that is aimed at accountants.
Speaker CHowever, if you are okay with numbers and, and you want to give it a go then Xero probably is the best software out there because it allows you to do a lot more and a lot quicker.
Speaker CLike it's going to take a bit more time and effort to learn how to use it and get the best out of that software.
Speaker CBut there's, it's the one we use on all of our bookkeeping packages.
Speaker CYeah, it's probably the most wizards and.
Speaker AWith it being advanced they can then yeah run all them reports that they know how to do and then feedback to you in like the quarterly performance packs on how your business is doing and you know you can ring up and pick apart your business and yeah, it's zeros definitely the bookkeepers and the Karen's preference other than Vic who loves.
Speaker CFree age as I don't mind the fit.
Speaker CYeah I'm the only one in the company that likes free agent because everyone pretty much uses zero.
Speaker CLike I say with our bookkeeping packages we'll always put you on zero because it comes with the Hub Doc app as well which is really really good and it's a case of just snapping a picture really quick like a receipt and it pings off to your bookkeeper and they deal with it.
Speaker CSo again there's different pros and cons of each which is why you need to do a bit of research into looking at to what is going to be best suited to you.
Speaker CI know we get a lot of questions in all the different groups where people say, oh, what software are you using?
Speaker CYou've got to make sure that it's making Tax Digital compliant because if it isn't there's no point in getting it because change it at some point anyway.
Speaker CAnd again, like I said, this is just our personal preference.
Speaker CYou could speak to another five accountants and they might all use different softwares or they might say actually QuickBooks is our number.
Speaker C1 and 0 we hate.
Speaker CSo there's no right or wrong answer.
Speaker CIt's just what we prefer as an accountancy firm.
Speaker CBut if you're going to do your own bookkeeping, I'd always suggest free agent.
Speaker CIf you wanted a bit more support index, you're just wanting to tick the necessary boxes that you need to do to comply.
Speaker AI think it's good that we have the option because there is like I'll speak to people and say that I can't.
Speaker AThe only software they offered was QuickBooks and Beware.
Speaker AAs you know, it's good to find out what you're looking for.
Speaker ADo you want to grow the business?
Speaker AYes.
Speaker ANo, like do you want to.
Speaker AHow much are you looking to spend?
Speaker ADo you want us to do all the number work and do the bookkeeping?
Speaker ABecause then it would be zero.
Speaker AOr if you want to do it yourself.
Speaker ASome people say, you know, I'm going to start on something more basic to begin and then as I get used to doing the, the basics of doom or record keeping on software, I'll then transition to something a little bit more advanced like go up to free agent or then go up to Xero.
Speaker ASo it's really just finding out like what you're looking for, the pros and cons.
Speaker ABut that's something I always chat through, you know, in detail on our initial like discovery calls with people just to see what you're looking for and then what would suit you best?
Speaker ABecause it's individual to everybody.
Speaker AEveryone's at different stages in the business.
Speaker CAlthough I don't know why anyone would want to use QuickBooks as their main software.
Speaker CBaffles me.
Speaker CCrap.
Speaker CI went to go and do some self assessments on QuickBooks.
Speaker CI couldn't get in because QuickBooks was just down.
Speaker CThey just kept kicking.
Speaker CI just hear you screaming mud like so frustrating.
Speaker CAnd I'm from a client's point of view, they're like have you done it yet?
Speaker CAnd I'm Like, I would love to.
Speaker CI can't get into QuickBooks because it's crashed.
Speaker CAnd then I go look at the accountancy groups and everyone's like, oh, QuickBooks has crashed again.
Speaker CSo for me it's just not very efficient.
Speaker CAnd like I said, we did use it up until this year and we just made the decision to focus on those three because we just think that Bella, with all our.
Speaker CWell, with our self assessment packages, those have.
Speaker CThe clients are on free agent.
Speaker CFor example, we always do a bit of free bookkeeping at the beginning just to tidy everything up.
Speaker CBecause you're not accountant, we would expect you to get it right 100% of the time.
Speaker CAnd there might be some categories that you've.
Speaker CYou've missed or you've categorized something as really obscure or you haven't put your van in correctly.
Speaker CSo what we do is we always spend the first hour just tiding everyone's free agent up and just making sure that it's all correct.
Speaker CAnd then what happens is when we give you your tax return and your account, they will match exactly what's on free agent.
Speaker CAnd there's only been a couple of times where we've had to say, people, look, it's so bad, you're going to have to go away and do something else because.
Speaker CYes.
Speaker CHave I just seen a question pop up?
Speaker AI can't see any, but I'm sure.
Speaker CI thought it did.
Speaker CIt was just.
Speaker COh, sure.
Speaker ANo, Katie said, sorry, I'm still on it.
Speaker CHe's still on QuickBooks.

Speaker CWe'll have to sort that out, Kim.
Speaker CBut yeah, we still.
Speaker CWe saw a couple lineups.

Speaker CYeah, it's a bit of a process, but if you like I say if you're on 50 grand turnover or more and you have properties as well included in that, and that's your turnover, not your profit, all of your sales.
Speaker CThen make sure that you get.
Speaker CI don't know why I keep clicking that.
Speaker CMake sure that you get some software and do some research.
Speaker CLike I said, there's different ones can be suited to different businesses, different skill set, different wants and needs, so.
Speaker COr froze on and back.
Speaker CUm, so just make sure you look at which ones are going to be suited to you.
Speaker CBut those three are our favorite.
Speaker CQuickBooks is our most hated one.
Speaker CAnd I might get a T shirt that says hashtag, I hate QuickBooks.
Speaker CI hope.
Speaker AWow.
Speaker CIt's a good.
Speaker AWhat if they follow.
Speaker AWhat if they follow us on.
Speaker AOn a Facebook page because I do followers on Instagram and yet there's you just going QuickBooks.
Speaker COh, QuickBooks.
Speaker COh I don't mind.
Speaker CSorry but 49 fives because it's rubbish.
Speaker CBut don't see no, like I said, it's personal preference.
Speaker CSo I know.
Speaker CI know one accountant that that's all she uses is.
Speaker AYeah I've come across some recently as well.
Speaker ASomebody came to us from them and is all she's used for years.
Speaker AShe won't.
Speaker AShe won't consider any of her software.
Speaker CSo yeah, there we go.
Speaker CI think like some groomers might prefer certain clippers and some dog walkers might.
Speaker CCertain dog leads and different types of dog leads.
Speaker CYou just everyone's individual and that's just what we like and so that's the software.
Speaker COther things we just want to do a quick mention on.
Speaker CAnd because some people don't know that we do this sort of stuff is products.
Speaker CSo because the wiz on Excel we come up with various different products.
Speaker CWhat are you.
Speaker AWhat I can hear you tapping.
Speaker AIs it you?
Speaker COh is it?
Speaker CBecause it's right next to the microphone.
Speaker CIt's fine.
Speaker CYeah I could do.
Speaker CI could do it all the way through the cause and I'll tell you a trick.

Speaker CSo the products.

Speaker ASo it's £40 for the free agent tutorial and it covers yet the basics from just recording your sales and things like that to the more advanced stuff of what I love as well.
Speaker AYou did a module about what you tend to see as mistakes and how to avoid doing them.
Speaker CYeah, I have my set checks that I do that is usually people what they do wrong but it's all in there.

Speaker CIf you're new or up to a year in, then it's an invaluable resource to have.
Speaker CLike I said, if you're 10 years in, please don't get it.
Speaker CAnother really good product that we do is the utilities calculator.
Speaker CNow again, if you're a client, please don't buy it because we use it when we do your tax returns.
Speaker CAnd the utilities calculator does what it says in the tin.
Speaker CIt calculates the amount put in to cover your utilities.
Speaker CSo if you're a home boarder and a home groomer or daycare, stuff like that, that you're working from home and the majority of your business is done from home, then the utilities calculator is perfect.
Speaker CIf you are a mobile dog groomer or a dog walker or a dog trainer, where the majority of your workers outside the home, again, the utilities calculator is not going to be for you because it you don't work from home, you would just use the flat rate that HMRC give you.
Speaker CSo if you're a home boarder, home groomer, daycare, anything that's done from your house, 90% of the time, I would definitely get the utilities calculator 100% and.
Speaker AThat'S 29.95 bargain business experience.
Speaker AYou can use it each year, can't you as well, so.
Speaker CExactly.
Speaker CSo you can use it every year.
Speaker CAnd then basically you put in your numbers and it pops out a figure at the bottom and that's the figure you put in your tax return.
Speaker CSo it covers like council tax, electricity, water, gas, rent and mortgage interest, broadband, everything.
Speaker CSo you put all your yearly figure figures in there and then it pops out one at the bottom you to put in your tax return.
Speaker CAnd people have saved a lot of money by using that because we find that people just put the bare minimum in there and then we do it and actually you can have.
Speaker AIt's like thousands save hundreds and thousands.

Speaker ASo really some people don't know it exists.
Speaker AWe get messages on Facebook, people saying I run my business from home and do me in tax returns.
Speaker AIt's like, well.
Speaker AAnd they'll start saying now how I'm a home based groomer, how do I claim for my utilities?
Speaker AAnd it is hard because HMRC's allowance is so little compared to what these people are using.
Speaker ASo it's a really good way of working it out, isn't it?
Speaker AAnd then you've got that backed up method of how you've come to that conclusion, that figure that you're putting on your tax return.
Speaker ASo it's a good one.
Speaker CYep.
Speaker CSo next up.

Speaker CYes, I've got tax returns to do so I didn't want it to be a long one today.

Speaker CWe have various options of recording your income and expenses.
Speaker CSo we've got spreadsheets, we've got record keeping packs depending on sort of where you are and what you prefer.
Speaker CAnd again they will only be available up until making Tax Digital appears because again they'll become null and void at some point.
Speaker CYou're Nowhere near that 50 grand bracket that I mentioned before.
Speaker CAnd you want a spreadsheet or the record keeping path that has a lot of hints and tips and guidance in then please grab one of those.
Speaker CAnd we do have.

Speaker AAnd then it asks you like what you want to achieve this year with like your figures and then you fill it in as the months go on and then it'll ask you whether you've achieved it all.

Speaker CSo we also have a tax and pricing calculator and basically you put in your info on that calculator and it tells you how much tax you need to save.
Speaker CSo you just put in your information, your sales, your expenses, any PAYE income you might have and it will tell you how much to put in your savings for tax.
Speaker CSo if you are one of those people that doesn't know what to save for tax or is worried or is conscious that you know, you don't know what your tax bill is going to Be then grab that tax calculator because that will help you manage that as you tax the end.
Speaker CAt least it won't be as much as a shock tax calculator guide to.
Speaker AAnd you can use estimate.
Speaker AWhat I like about it is because if somebody's doing all the record keeping on software or in another format like with the tax calculator, you can use estimated figures.
Speaker ASo if you give it like roughly.
Speaker ASo if you want to sit and write every single dog you've grown or every single dog evolved, you can use estimated figures as well.
Speaker ASo like rounding it up.
Speaker COh, you've gone, your sound's gone.
Speaker AOh my.
Speaker AMy phone char.
Speaker ALike my cable that was plugged into my phone hit my keyboard and put me on mute.
Speaker AI was gonna say it's got the price inside to it as well.
Speaker ASo when you've put in all of your figures and it helps you with the tax, it will also make sure that you're pricing yourself correctly.
Speaker ASo it'll tell you how much you should be charging per dog or per hour to generate a desired income that you've used.
Speaker ABasically tell it what you want desired income to be annually and monthly and then with everything else you've input, it will let you know what you should be charging.
Speaker ASo it's really good.
Speaker CIt is good, yeah.
Speaker CSo that is the different softwares, Dext Free Agent zero for make and tax Digital next year comes into play.
Speaker C50 grand or more turnover, including any rental properties.
Speaker CAnd there's various products on our website that will help you do everything, keep you compliant and keep you on the right track.
